What do I need to cover in a quote?

I've been asked to do some work for my mates company, promotional photo's.

I'm wanting to arrange a price up front and let them know exactly what they're paying for.

I'm going to give them a price that includes, travel to and from the site, the time on site that I'll be shooting for, the time it'll take me to pp the images and burn them onto a disc and for the copyright to pass to them.

They're going to have someone on site to act as a creative director, who'll be sorting out the models etc, should I qualify in the quotation that they are responsible for getting model release forms signed, or is that my responsibility?

Do I need to let them know that I will be using ambient light and a flashgun and no studio lighting will be provided, or is that obvious?

Any information appreciated.

In that sort of situation, assume NOTHING is obvious!!

You let them know exactly what you're quoting for, and what their responsibilities are. If you are passing the copyright over to them (don't forget to ensure you can still use the pics in your own portfolio as well!), I'd say get them to arrange the model releases.

I would suggest that you construct a document that covers the following:

1 What you are going to do for them in the format:

I will:
a) use ambient light and a flashgun;
b) take the agreed set of photographs;
c) do the post production work on the images;
d) burn the images to a disc; and
e) pass the copyright to you.

2 What you expect them to do in the format:

I expect that you shall:
a) provide someone on site to act as a creative director;
b) sort out the models etc,;
c) obtain the model release forms signed; and
d) ...

3 The price that they will have to pay you in the format:

For these actions, my charge is .... This covers the following:
a) travel to the site;
b) shooting the agreed set of photographs;
c) travel from the site;
d) doing the post production; and
e) burning the images to a disc.

Dos that help? or hinder.

One other thing, I have registered as a business with HMRC, although as I'm below the threshold I'm not VAT registered. Do I have to mention VAT in my quote?

as far as im aware you dont need to mention vat as it cant be claimed by them
 
if your not vat registered you cant charge or claim back vat
