Hi all, I'm doing a school formal this week and just wondering if anyone has some useful tips on how to do the admin side of things on the night to keep the photos/orders matched up. As long as I print the right ones I don't need to know names as I just land the box of photos into school for the sixth form to sort! :-)

So you're not giving them a proof card? then it's easy peasy lemon squeezy. The order has the image on it so easy to match up.
 
Yes, sixth form prom. :)

No time for proofs. Have to match the previous guys way of working by taking the money before the photo is taken and then supplying all the photos 2 days later before the end of term! There will be couples and groups to take care of and all done in 8x6 mounted.
 
Easy way to do it is all in photo pay. you then print exact number of prints of those in the pic. quick fast and simple. thats how we do proms and Balls for schools.

Large groups need a min order... 10 kids get at least 7 payments. do deals. then just print the best shot of 3 or 4 you take. quick fast and simple.

no faffing with viewing pics etc

Yeah, dont intend showing pics. as I believe it'll be pretty busy! Got a fair idea of how it'll all pan out so just need to get the fine details straight in my head now! :thumbs:

I thought you were doing individual shots. I do nurseries and proof sheet with various images tht parents can choose. They respond with the order on the proof card so I can see the images they want and order them.

One Vision's school system is very good although there are others like Dunns that look like they have an interesting setup too.

No worries. Just completed my first school there and now doing their formal but the girls dont like waiting for the results!! :D

I'll have my wife with me for the admin side so thinking as they come in for their pics she can take their name and class, no. of copies required, get the payment and then when they are coming across I'll check what the next image number will be and my wife can jot that down on the sheet. :thinking: I think that will work :D
 
??????????? Photo Pay? I mean all kids in Photo to pay. Cash. In your hand. no soft ware. you went off left at the traffic lights there.


It should have read ''Easy way to do it is all in photo, to pay.'' all kids in the photo.

Dont have a decent enough print set-up to print on the night so doing it all next day. I'm new to all this malarky so got a decent camera and computer but not much else!
 
What about lighting and backdrop? What about backups? What about insurance?

Yep, got all that in place too. Sorry, was a bit brief saying that all I had was a computer and Camera!

Will be taking money on the night rather than trying online sales, but just no way of printing to a professional standard. Same system as the previous guy though and sales always seemed good - you're right of course that kids showing others their pics generates more sales! I will be doing this annually hopefully, but only for this school due to my connection to it so not worth investing too much in it.
 
People will want to see their images before parting with the money. How do you plan on showing them the images?

Back of the camera? Takes up way too much time. Sending to PC? You'd be just as well hiring a Dye Sub for the night and doing your own - You'll sell far more.

They give their money before the pic is taken! Just copying what the previous guy did for the last few years :shrug: - I'll see what happens this year and maybe try something print wise next year
 
Rick, we still take money upfront with all our Proms. School stuff is not like other event stuff like Balls. Balls are usually couples so you sell one image to a couple. Proms has a sale to every person in the image.

Pay upfront. Then choose best image and then print off as many as in the photo. you do not want to be viewing all flaming night with kids. They get trollied and start asking for this and for that.... and not buying anything as they fall over and take your kit with them.

Just to let you know how it went - took the money before the pic, charging for each person who was in the pic. Made a few exceptions for some pairs (sisters/brothers etc..). Took around 130 different couples/individuals/groups at £7 each for individuals and £5 each for when there was 3 or more in the pic. All went pretty smoothly and healthy income made!!!!
