I have submitted to local newspaper a photo from last Saturdays local football game. Having asked for a nominal fee, they have agreed to pay if the image is printed but would require an invoice. Last season I did not ask for a fee (I know) but this season I thought I need to be more serious about my images.

Not having any experience in this field could anybody point me in the right direction as to what the invoice should contain. I'm thinking I should mention one time usage (I retain copyright), details of the photograph used and what edition it was printed in and the time frame for payment (28 days).

Any advice would gratefully be appreciated.

Usually can be emailed to the editor, who will sign it off and email you back to acknowledge receipt. Expect payment to take up to a few weeks.

As above. You own copyright anyway, so there's no need to mention it, but you should have sent your terms and conditions - including licensing - with the original submission. That tells the client how much he is being asked to pay, and what he is getting in return. Don't worry about it now, just put it on the invoice.
 
If you have MS Office, they have an online templates download area...the templates are very customisable to most needs.

Thanks for the link Mark, very informative. I have downloaded an invoice template which I tweaked and I think I now have all bases covered.
Just now need to look at income tax legislation for hobby income so as not to fall foul of the law. I think I would be right to say that I don't need to worry about VAT as I'm not a business.
 
VAT is to do with turnover not if you're a business or not. It's the Inland Revenue who you need to clear things up with as you are now a business and charging for your product (pictures) therefore creating a profit (hopefully :) ) and subject to tax etc.
