planning a massive photo shoot for charity..help please

hi ive been asked to help organise and shoot at a planned event at a premiership soccer ground, it involves taking team and individual shots of local clubs with age groups from 8-15 years old. its a chance for the kids to have their photos taken on the pitch with a backdrop of the stands of their favourite team.. hopefully some of the pro players will make an appearance. the proceeds of the day will go towards a charity raising funds for a memorial for fallen heroes from the current conflicts. the chap organising the event lost his own son six months ago in Afghanistan.
any advice from anyone who has done anything similar would be welcome, eg planning the day,
preparation
setting up
equipment
creative shots or angles,examples would be brill..
editing
presentation and related products to boost sales.
we anticipate that aprox 600 kids will be turning up over 2 days, there are three people shooting, do this sound feasible.. hope you can add your bit on any part of these subjects...ta

dye sub printer, print on the day. have someone organising the sprogs, etc...isn't that much scope for getting too creative really... need some studio heads, tethered laptop etc.

you'd be well off getting in an experienced event photographer to help you with the 'back end' ie not the taking the photos themselves, editing and printing and helping with sales/pricing etc...

whereabouts are you, someone experienced with this sort of thing may well be able to help you out :)

we are in sunderland. tyne and wear. have you done anything of this scale before...it s becoming to feel like an episode of "In at the deep end". we are turning clubs away...every one wants to be in on this....i know we will not be able to cope with the printing side on the day unless someone who specialises wants to come along and muck in...we were thinking along the lines of getting the phtos done on the day..as little editing as possible later then ordering prints in. hopefully team managers will pitch in with the distribution..do you know of a print firm who would be interested in the on site printing...
 
I've run a public event before, and would suggest thinking about....

1. food - everyone loves a coffee/tea/bacon sarnie - and you'll be able to get someone for free to attend your event and pay you a commission (upto 40% !)

2. something else for the kids to get involved with to keep them keen and interested - bouncy castle / sumo suits / get a goal in past the celeb :)

3. tombola / raffle - lots of companies are really happy to donate something to a good cause - try Game, Pets@home, local health clubs etc, and it'll help keep people there.

4. make sure you've got insurance cover for everyone and from everyone thats there

5. H&S is SOOooooo boring, but try and nominate someone to be responsible for it - risk assessment document, st johns ambulance, someone to run round any other companies that are there supporting you with 'hi-viz' tape or string or whatever - it's always appreciated.
